Project Description

A medium sized middle-eastern healthcare charity required a relocation partner to support the move of staff, IT equipment and furniture from their existing location in Lambeth, London to a new space a mile away near Victoria station.   The Charity was re-using half of its furniture in the new space. The move involved relocating 22 staff, desktop IT and servers, marketing materials, and all existing desks, task chairs, meeting tables and chairs along with a large number of pictures and awards.  All remaining furniture was donated to local charities with the smaller items being recycled. Renovo put together a proposal for the works along with options to support the disconnect and reconnect of the IT. Our team attended a planning meeting to ensure that all preparations and planning was in place for the move and to offer advice to the client team. At this planning meeting we agreed on the final schedule. There were a number of changes to the planned move date, and Renovo altered the plan to be as flexible as possible to support this.

Services Provided

Renovo were appointed to carry out the relocation and in doing so, agreed a program for the relocation which included timely provision of packing crates and labels for AMAR staff to pack up ready for the move.

The Renovo team were briefed on the requirements of the move. All items needed to be safely handled and dismantled in order to move them, and then re- installed in the new building as per the new layout.

All the desktop IT equipment was moved by Renovo, carefully packed into purpose made crates, moved over and then delivered onto the destination desks.

Challenges Overcome

A delay in completion of the new lease, and a hard move-out date at the old office, meant Renovo had to change the programme from a one day project to a four day project including storage of furniture, IT and filing within our warehouse until confirmation from the client of the revised delivery date.

The access at both the collection address and delivery address was challenging, with both buildings having very small lifts and parking for the vehicles was on very busy London streets. In order to overcome this, Renovo used a larger crew to negotiate quicker turn around in both buildings. The start time for the works was also brought forward to ensure the works were complete in a timely fashion. This gave AMAR the maximum time to set- up and test the desktop IT for full readiness the same day.
